Privacy Statement

RouteVision

RouteVision processes the personal data of its customers and visitors to the website who submit a quote or contact request. This data is often privacy-sensitive. It is very important both for you and for RouteVision that this data is processed securely and that RouteVision meets the new privacy legislation that has been applicable to this processing since 25 May 2018. The General Data Protection Regulation (GDPR) sets out a number of requirements, all of which are met by RouteVision. As a result, you can be sure that your data is being stored and processed securely.

What is the GDPR?

The GDPR is a new piece of privacy legislation that has replaced previous privacy law since it came into force on 25 May 2018. It enhances and extends the privacy rights of natural persons. The GDPR is now the only piece of privacy legislation applicable across the European Union; the Dutch Act on the Protection of Personal Data (Wet bescherming persoonsgegevens) ceased to apply on 25 May 2018.

Who is the GDPR for?

The GDPR is for all natural persons whose personal data is collected by companies and organisations, such as customers, staff or other individuals within the EU. All companies will be affected by the GDPR at some point, for example when sending a quote, invoice and/or digital newsletter, or when storing agreements concluded with customers, customer contact details or staff information.

What does this privacy statement cover?

This privacy statement provides information about the personal data that RouteVision processes. RouteVision ensures that your data is handled carefully and in accordance with applicable law. In this privacy statement, RouteVision explains how it collects personal data and for what purposes.

Data collection

You share data with RouteVision whenever you fill in one of the forms on the website. RouteVision will only store the data that is directly provided by you. You can withdraw the personal data you have provided at any time. If you request to withdraw your data, RouteVision will delete the data and it will no longer be processed, unless an agreement has been made with RouteVision in the meantime. Personal data is not stored for longer than necessary, unless a longer statutory retention period applies, and is only used for the purposes listed below. RouteVision processes the following data:


Quote requests

  • Name – this allows RouteVision to identify you.
  • Company name – this lets RouteVision know on behalf of which company you are getting in touch.
  • Number of vehicles – this allows RouteVision to provide you with a customised quote.
  • Email address – after speaking to you on the telephone, RouteVision will send a quote to your email address.
  • Partner code – this allows RouteVision to identify which of its partners you were referred by.
  • Telephone number – RouteVision can use this number to call you, for example in order to discuss which package would be the best fit for you.

 

Contact requests

  • Name – this allows RouteVision to identify you.
  • Company name – this lets RouteVision know on behalf of which company you are getting in touch.
  • Email address – after speaking to you on the telephone, RouteVision will send a quote to your email address.
  • Telephone number – RouteVision can use this number to call you, for example in order to discuss which package would be the best fit for you.
  • Your message or question – based on this, RouteVision can provide you with a clear response that meets your request.

 

Customers

Customer journeys are recorded in a secure environment which is accessed using the customer's login details. Personal data, specifically location data, is stored in this secure environment. This data can only be viewed by the customer using a unique login code, unless they have provided written consent for others to access this data. RouteVision exclusively uses this environment to manage and modify packages or to handle support requests from customers. The personal data listed below is processed by RouteVision:

  • Name and contact details – this information is used in order to draw up the contract. They include the name, email address and telephone number of the contact person at the company in question.
  • Company name – this allows RouteVision to identify the party with which it is concluding the contract.
  • Commercial register number/extract – this allows RouteVision to identify the party with which it is concluding the contract.
  • Vehicle license plate – this is how we identify the vehicles.
  • Vehicle labels – these can be used by the customer to add names, for example.
  • Email address – this is where invoices and responses to support requests are sent.
  • Telephone number – this is how RouteVision contacts its customers.
  • Passport/ID – this allows RouteVision to process relevant data, if required.
  • Payment details – RouteVision uses a secure payment system to process invoice payments. Payment is usually collected via direct debit.
  • GPS tracker data – journey details are recorded for the customer.
Legal basis for processing

The aforementioned personal data can only be lawfully processed if you have provided your consent to this processing. The processing is necessary for the performance of a contract to which you are a party, or because you have asked us to take specific steps before entering into a contract.

Retention period

RouteVision endeavours to store your data for as short a period as possible. Tax reports are stored for a maximum of 7 years in accordance with the Dutch legislation on administration and taxation. All of your data will be deleted within 7 years after your contract with us has come to an end.

Rights

Your rights

You have the right to submit a request to RouteVision asking for information about which of your personal data is being processed. You can also ask for your personal data to be changed, rectified or deleted, or for processing of your personal data to be restricted on the grounds set out in Article 18 GDPR. You can also object to the processing of your personal data on the grounds that your personal data is incorrect or incomplete. If your personal data needs to be added to, corrected or deleted, you can send a request to our Data Protection Officer via email or post: RouteVision Nederland B.V., Marten Meesweg 8-10, 3086 AV Rotterdam t.a.v. de heer van Vlijmen.

If you feel that RouteVision is not taking due care with respect to your data or that your objection or request has not been handled in a satisfactory manner, you can file a complaint with the Dutch Data Protection Authority.


RouteVision's rights

RouteVision has the right to review and modify this privacy statement. You are advised to regularly consult the privacy statement so that you are aware of any changes.
